Update on 10 June 2022

Dear COSITers:
The Japanese borders reopen on 10 June 2022 given certain conditions. So, we can finally say with confidence that COSIT 2022 meets our requirements to take place in Kobe in September, and we would like to invite you all to come along!
Early-bird registrations are available until 15 July, but in light of the lead time needed to get your visa, we strongly recommend you register sooner (application for a visa requires that you are a registered conference participant). Accompanying persons traveling with you to Japan will also need to register, and we set up a One-Day Ticket for them. Please see below for details.
We appreciate your understanding that the COSIT series is not an online or hybrid conference and supporting our efforts to have an on-site meeting to rekindle the COSIT spirit. We hope to see you all there in September.

The COSIT 2022 Co-Chairs and Local Organizers are making every effort to welcome you to Kobe and to have a safe, successful, and enjoyable meeting. There are, however, unpredictable circumstances that are out of our control due to the COVID-19 pandemic. Because of that, please understand that there is a possibility that the conference could be canceled. Please also be aware that the COSIT series is not intended to be an online or hybrid conference.

If the conference is canceled because of the pandemic, your registration fees minus the payment processing fee (3.6% of your payment) will be reimbursed. Please also be aware that the amount of reimbursement depends on the current exchange rate. That is, the amount you get back may not amount to what you paid.

If the conference is canceled because of the pandemic, the reimbursement of one of the authors’ registration fee will be further reduced by the contractual publication costs (i.e., EUR 60.00 per paper). Accepted papers will be published even if the conference needs to be canceled.

Registration Fees

The registration fees (per person) will be ¥75,000 for regular non-student participants and ¥45,000 for students. These are early-bird rates for registration by 15 July 2022. These fees include the reception, excursion, banquet dinner, lunch, coffee and refreshments, as well as participation in the paper, keynote, doctoral, and themed discussion sessions and online access to the conference proceedings.
A One-Day Ticket (¥18,000) is prepared for the registration of an accompanying person. It includes admission to the excursion and the banquet dinner on the fourth day of the conference only.

Registration fees after that date will be higher. Standard rates (on or after 16 July 2022) will be ¥85,000 for regular participants and ¥55,000 for students. On-site registration rates (without prior registration) will be ¥95,000 for regular participants and ¥65,000 for students.

If you cancel your registration for your own reasons (not that the conference is cancelled because of the pandemic), refunds will be made in accordance with the following schedule:
• For cancellations requested on or before 1 August 2022, 50% of the registration fee will be refunded. (Note that administrative charges may apply. Please also be aware that the amount of reimbursement depends on the current exchange rate.)
• For cancellations made on or after 2 August 2022, no refund will be made.
• There will be no refunds for the authors of accepted papers.

All requests for refunds will be processed after the conference has taken place.

In accordance with COSIT’s cherished tradition of getting together in the same room and having focused discussions about exciting new ideas, COSIT 2022 will be offered (primarily) as an in-person meeting. Significant parts of the program will be accessible only for on-site participants, including the sessions for vision papers, themed discussions with paper presenters and keynote speakers, dedicated lightning talks, the doctoral mentoring program, and committee meetings. Through these on-site activities and networking, this year, we will particularly aim to discuss future directions of the COSIT conference series.

In consideration of individual special circumstances, online participation will be offered as well, but in a strictly limited condition. Please be aware that the COSIT series is not intended to be an online or hybrid conference that has become popular in the past few years. Online participation is hampered by time zones and by the varied activities at COSIT, many of them not in the traditional paper presentation format but rather informal and social. Online participation is restricted to the paper presentation sessions, without an opportunity to participate in active discussions. No recording will be available, either.

Registration fees for online participation will be ¥20,000 for regular non-student participants and ¥15,000 for students.
